JOB SUMMARY:

The Senior Accountant is an experienced accountant with a background in payroll. The Senior Account will maintain the integrity of payroll processes to ensure accurate and timely payroll for New World Medical Employees and in compliance with all state and federal regulations. This role will be responsible for streamlining and establishing a sustainable foundation of payroll processes, while supporting a fast paced and high growth environment. Will manage payroll accounts, including payroll related benefits, payroll taxes, and the month-end close & reconciliation process. This position will make key contributions by partnering with other functions, such as human resources, to ensure our payroll accounts are maintained appropriately. This role will also be responsible for ensuring compliance with established internal controls and prepare supporting audit schedules.

ESSENTIAL JOB DUTIES AND RESPONSIBILITIES:

  • Analyzes, audits, reconciles and resolves complex payroll processing and employee payroll issues to ensure smooth payroll processing
  • Ensures payroll reporting, policies and payments are compliant with company policy, Generally Accepted Accounting Principles (GAAP), and applicable regulations
  • Researches and interprets applicable regulatory requirements and resolves tax, withholding, garnishment, and wage/hour issues for payroll processing
  • Responds to auditing and regulatory inquiries
  • Creates standard operating procedures, prepares journal entries and accrual schedules for payroll and benefits.
  • Reconciles balance sheet accounts related to payroll taxes & benefits
  • May work with system programmers and/or vendor to achieve solutions or administer company payroll system with outside service provider
  • Consistently, accurately process payroll for 200+ employees
  • Manages workflow as prescribed to maximize efficiency
  • Audits timesheets accurately to ensure wages and benefits are properly distributed
  • Calculates the correct amount incorporating overtime, deductions, bonuses etc.
  • Participates in month-end closing and financial audits
  • Processes 401(k) elections, sets up deductions and monitors reports to ensure proper deductions are taken and reported
  • Conducts year-end reporting for W-2s, etc.
  • Receives approval from upper management for payments when needed
  • Prepares and execute pay orders through an electronic system or distribute paychecks
  • Administers statements of payment to personnel either electronically or on paper
  • Processes taxes and payment of employee benefits
  • Keeps track of hour rates, wages, compensation benefit rates, new hire information etc.
  • Addresses issues and questions regarding payroll from employees and superiors
  • Prepares reports for upper management, finance department etc.
  • Communicates with HR teams to make necessary changes/updates to accounts
  • Multi-state payroll registration and processing
  • Be proactive in providing recommendations regarding process improvements, improved productivity, service quality, increased internal controls and cost saving measures; and implement such approved measures
  • Prepare and analyze headcount budgets
  • Prepare and analyze other departmental budgets
  • Perform other related duties or ad hoc projects

KNOWLEDGE, SKILLS AND ABILITIES:

  • Solid understanding of accounting fundamentals and payroll best practices
  • Extensive knowledge of Federal and California employment law
  • Very good knowledge of legislation and regulations of the field
  • Trustworthy and ability to maintain a high degree of confidentiality
  • Ability to perform detailed work with a high degree of accuracy
  • Excellent organizational, verbal and written communication skills

EDUCATION AND EXPERIENCE:

  • Bachelor's degree in Business, Accounting, Finance or related field preferred
  • 5+ years of corporate accounting experience, manufacturing environment, and payroll processing preferred
  • Intermediate knowledge of MS Word, Outlook, and Excel (pivot tables and VLookup)

PHYSICAL REQUIREMENTS:

  • Must be able to remain in a stationary position at least 50% of the time, including sitting at a desk and working on a computer.
  • Occasionally move about inside the office and travel to and from office buildings. This may include, but is not limited to, bending and walking.
  • Must be able to operate a computer and other office productivity machinery, such as a computer printer, computer keyboard, calculator, etc.
  • Occasionally lift up to 15 pounds. This may be performed with reasonable accommodation.
  • Ability to listen and speak with others. Must be able to exchange accurate information in these situations.
  • View and type on computer screens for long periods of time.
