About the Role

We are looking for an Executive Assistant in Murfreesboro, TN to support a few C-suite executives. The role requires strong cross-functional working relationships with internal and external stakeholders. Exceptional interpersonal, communication and writing skills are required. The successful candidate would have solid experience in calendar and document management, travel, and meeting coordination, and being self-motivated, collaborative and thrive in a dynamic environment.

What You Will Do

  • Manage and coordinate meetings, appointments, conference calls and events to ensure the executives’ time is used effectively.
  • Perform potentially confidential and complex administrative duties including, composing letters, creating spreadsheets, and compiling presentations.
  • Handle incoming and outgoing communications on behalf of the executives, if needed, including emails, phone calls, and correspondence.
  • Draft and review emails, reports, and other documents for the executives’ approval.
  • Screen and direct inquiries to the appropriate parties.
  • Coordinate and prepare travel itineraries, including flights, accommodations, transportation, and all necessary documents.
  • Assist in preparing meeting agendas, presentations, and briefing materials and attend meetings with the executives, take notes, and follow up on action items.
  • Organize and maintain records and documents to ensure version control and confidentiality.
  • Partner with other Executive Assistants across the company
  • Assist in monitoring and tracking departmental budgets and expenses and processing expense reports and invoices for approval.
  • Act as a contact point to resolve issues and inquiries without the executives’ direct input
  • Conduct research and provide summaries and analysis of research findings on various topics as needed.
  • Collaborate with all levels of internal stakeholders for cross-functional projects and initiatives.
  • Stay updated on industry trends, best practices, and administrative tools and attend training or workshops as needed to enhance skills.

What You Will Need

  • Bachelor’s degree preferably in business administration or related field
  • 8+ year of experience in administrative support functions or similar roles
  • Strong oral and written communication, organization, and interpersonal skills; analytical thinking skills; ability to maintain confidentiality of information; networking; project management; responsive approach to tasks.
  • Technically savvy in MS Office suites (Outlook, Word, Excel, PowerPoint, and Teams), online search engines, and mobile communication applications
