General Description / Primary Purpose The Coordinator of Events Planning represents the Parking Services to coordinate event services by campus and external clients. Coordinate the implementation and administration of departmental processes and/or programs. Plan, organize and execute event services and special programs. Work collaboratively with university staff to ensure program's success. Assist in the preparation & execution of smooth event experiences for all clients. May interpret departmental policies for area of responsibility. During declared campus emergencies, this position may be required to perform specific job-related duties at a designated off campus location or place of residence. Essential Duties
Job Function Event Scheduling and Logistics - Represents department for all event related parking requests
- Communicates parking and signage fees to clients
- Ensure parking and/or signage for events is completed smoothly and resolve any problems
- Assist with maintaining master parking schedule of events through various campus platforms
- Must be willing to adjust schedule when needed which will include occasional evening and weekend hours
Finance - Collaborates in planning and preparing budgets
- Collaborates with sourcing and negotiating with vendors and suppliers
- Maintain event financial records, billings, contracts, etc.
Communications - When needed, may write and publish department communications through campus platforms
- Ensures quality work with creating and reviewing printed, signage, video and electronic marketing materials for department
- Collaborates in creating printed and electronic materials for orientations, represents department in person when requested
- Coordinates with Event Manager in sales and related to shuttle and shelter advertising
- Assist with implementation of a marketing/communications plan to ensure departmental goals are met
- Other duties as assigned.
Percentage Of Time 100 Posting Detail Information Marginal Functions - Assist with other projects and activities within the department, which will arise from time to time.
- Serves on appropriate University committees as the department's representative.
Required Qualifications This position requires either (a) Master's degree from an acceptable accredited institution in a directly related area of specialization ; (b) Bachelor's degree from an acceptable accredited institution in a directly related area of specialization and two years of experience directly related to the job functions; or (c ) 6 years of direct experience.
