Job Description

Interstate AC Service is seeking a detail-orientated, friendly, customer service-oriented Assistant Project Manager to join our Construction Projects Team! The ideal candidate will be organized, proactive, and dedicated to delivering exceptional service, ensuring seamless project execution and client satisfaction. A day in the life:

  • Process job setups and document and process job closeout
  • Communicate day to day activities of the employees with the Field Supervisor and maintain a physical schedule of events
  • Assist with coordination and scheduling of sub-contractors and deliveries (i.e., crane lifts, equipment rentals, deliveries)
  • Process monthly AIA, change orders, etc.
  • Assistant in business development including tracking bids, collecting and analyzing sub-contractor bids, entering bid proposals into HubSpot, etc.
  • Become proficient at entering and retrieving data from the Interstate AC Service operating system and document storage system (Sage Construction or Procore)
  • Order and track equipment for sales and field personnel; provide updates to PMs and field supervisors
  • Complete and file permits, call-in, and track inspections, as requested
  • Gather and copy job close-out data (O&M documents, As-built drawings, and air balance reports) for delivery to the customer

Requirements:

  • Current or previous work experience in the Construction or Building Service industry providing administrative support
  • Service coordination or project management experience for a service contractor (preferably mechanical and plumbing)
  • Ability to work independently without direct supervision
  • Courage to make informed decisions without outside input
  • Organizational and superior follow-up skills
  • Ability to handle a fast-paced workload and work under pressure with last-minute time constraints
  • Ability to deal diplomatically and communicate effectively with internal and external customers
